What’s New in Spacewell Workplace: Accessibility Improvements, New Data Sets and Hardware Updates

Strong workplace performance is built on the details: apps that are easy to use, data you can trust, and devices that just work. This Spacewell Workplace release strengthens all three. It delivers improved accessibility for everyday users, richer analytics for smarter decisions, and hardware updates that make setup and deployment faster and more reliable. 

The update introduces new service request options in the Workplace GO web app, consistent cost centre allocation, deeper BigQuery occupancy data, and Android 14 powered devices. Together, these improvements help teams understand how their spaces are used and make faster, more confident decisions based on that insight. 

Service Requests for Workplace Management  

Service requests are often identified in the moment. Someone spots a broken chair, a temperature issue or a spilled coffee and needs a quick way to report it. With this release, users can now submit and track service requests directly in both, the web app (GO) and the mobile app. The feature aligns GO with the Workplace App and removes friction for anyone who wants to capture an issue while on the move. 

Users can: 

  • Create a service request from the floor plan 
  •  Add subject, description and attachments 
  •  Follow the status through a dedicated overview 

This improvement strengthens workplace issue reporting across all user interfaces and supports modern facility service workflows. Requests are synced with the underlying IWMS or 3rd party connected ticketing systems for efficient workflows. This is just the beginning as these service requests will soon be infused with AI capabilities, commenting back-and-forth with the helpdesk and allowing requests being issued through public QR codes without needing an app or user account.

Cost Centre Allocation for All Workplace Reservations 

Financial clarity often breaks down when different types of reservations follow different rules. With this release, cost centres are now supported not only for services and equipment but also for room and workplace reservations. This creates a single, consistent approach to chargebacks and removes the guesswork from internal cost allocation. 

Organisations can now manage financial accountability more accurately across every reservation type, which helps budgeting teams track usage, understand true costs and align workplace decisions with department-level spending.

Mini Display Improvements for Faster Setup 

Setting up room and desk devices often comes down to how quickly teams can configure each unit on site. The updated Spacewell Mini Display now supports direct login and logout on the device itself. This small but important change shortens installation time, makes troubleshooting more straightforward, and gives IT and facility teams a smoother setup experience across large deployments. 

Significant Progress in Web Accessibility 

Making workplace software accessible to everyone is no longer optional. Following external accessibility audits (WCAG 2.2) on the web app (GO) and the Workplace apps, Spacewell has introduced improvements that make the software easier to use for all employees, including those relying on screen readers or keyboard navigation. 

Initial updates include: 

  • Improved contrast for better readability 
  • Enhanced keyboard navigation 
  • Corrected screen reader labels 
  • Updated icon and focus order 

These accessibility enhancements are just the beginning and will continue to be included in every upcoming release, helping organisations create a more inclusive digital workplace. 

Spacewell Data Platform: New BigQuery Data for Workplace Analytics 

Accurate data is only useful if it can be acted on. The Spacewell Data Platform now offers additional curated BigQuery datasets that integrate seamlessly with business intelligence tools. 

  • Space occupancy data in 15 minute, hourly and daily intervals 
  • Location master data 

These datasets build on the previously released reservation and reservable data, allowing organisations to connect Spacewell data directly to tools like Power BI, Google Looker, or Tableau without custom API development. The result is fully customisable dashboards that provide clear insights into occupancy, meeting room performance, workplace utilisation, and more, empowering teams to make data-driven decisions.

Workplace Hardware Updates: New Sensors and Android 14 Devices 

Reliable hardware is essential for a smooth workplace experience. This release introduces several enhancements that make installations faster and devices more dependable. 

  • Support for the new wireless Vergesense Infinity sensor with battery life up to 9 years and higher reliability
  • The Room Display, Mini Display and Kiosk Backpacks now ship with Android 14  
  • Pre-installed kiosk app for faster deployment and fewer installation errors 

These improvements help IT and facility teams achieve more consistent, secure, and scalable hardware rollouts, reducing downtime and supporting a seamless workplace environment.

Improved Outlook Reservation Synchronisation for Workplace 

Keeping Workplace and Outlook calendars aligned can be a challenge, and misaligned bookings can cause confusion and lost time. This release introduces improved reconciliation logic to ensure better alignment between the two systems. 

  •  Automatic reconciliation for single Outlook reservations 
  • Automatic reconciliation for single Workplace reservations 
  • Email reporting for conflicting bookings 

Support for recurring Workplace bookings and automated conflict resolution will be added in a future release, making calendar management even smoother and helping teams avoid scheduling errors.
